The Shared Documents tab provides a secure, collaboration-specific area where both parties can upload and exchange files. Unlike the images and documents in your company profile (which are general to your account), files shared here are specific to this individual collaboration.
Accessing the Shared Documents Tab
- Open the relevant Collaboration Workspace from the Collaborations section
- Click the Shared Documents tab at the top of the workspace
What You Will See
The Shared Documents tab displays a table listing all documents that have been shared within this collaboration. Each entry shows:

| Document | The file name and a document type icon indicating the file format |
| Shared By | The name of the company that uploaded the document |
| Shared On | The date the document was shared |
| Actions | A download icon allowing you to save the file to your device |
Both your company’s shared files and your partner’s shared files appear in the same table, clearly labelled by the “Shared By” column.
How to Share a Document
- Click the Add Documents button at the top right of the Shared Documents tab
- A selection panel will appear, showing documents you have already uploaded to your company profile (under Images & Documents)
- Select the document(s) you wish to share into this collaboration
- Confirm the selection — the document will now appear in the shared table and will be accessible to your partner
Note: You can only share documents that have already been uploaded to your company profile. If the file you want to share is not listed, first upload it to your profile under Images & Documents, then return here to share it.
Downloading a Shared Document
To download a document shared by either party:
- Locate the document in the table
- Click the download icon in the Actions column
- The file will download to your device
Best Practices for Shared Documents
- Share your most relevant documents early — such as your company brochure, capability statement, or a summary of your proposed collaboration scope
- Name your files clearly before uploading them to your profile, so they are easy for your partner to identify
- Only share documents that are relevant to this specific collaboration — avoid cluttering the workspace with unrelated files
- If a document needs to be updated, upload the revised version to your profile and share the new file into the workspace
